Neo Ever Inc. (“Company”, “we”, “our”, or “us”) respects your privacy and is committed to protecting the personal and business data you entrust to us when using VenEx AI (“Service”, “Platform”). This Privacy Policy explains how we collect, use, store, and protect your information, as well as your rights and choices regarding your data.
1. Information We Collect
When you use VenEx AI, we may collect the following types of information:
A. Data You Provide
- Account Information: Name, email address, phone number, company details, and authentication credentials.
- Payment Information: If you opt for a paid plan, we process payments via third-party providers (Stripe) and do not store credit card details on our own servers.
B. Data We Access and Process
To provide performance insights, VenEx AI may integrate with email, messaging, and productivity tools. Based on user authorization (via OAuth or similar secure methods), we may process:
- Email Data (Gmail, Microsoft Outlook)
- Data Collected: We may collect subject lines, timestamps, metadata, and only the minimal content necessary to analyze productivity patterns.
- Gmail Scope: Specifically for Gmail, we request read-only permissions/ scope to obtain user consent for accessing work‐related email data exclusively for analysis and insight generation. However, the original email data is never stored, shared, or retained in any form, whether partially or fully. As soon as our system has generated the required productivity insights, the corresponding email data is discarded.
- Compliance: We comply with Google’s API Services User Data Policy, including the Limited Use requirements. This means we:
- Only use the data to provide or improve user‐facing features of VenEx AI.
- Do not transfer data to third parties, except as necessary for providing or improving these features.
- Do not use data for advertising purposes.
- Do not allow humans to read data unless we have your affirmative agreement for specific purposes (e.g., debugging) or are required by law.
- Messaging Data (Slack)
- We may collect message metadata and interaction trends to assess communication effectiveness.
- We do not process private or encrypted conversations unless explicitly authorized.
- We comply with Slack’s Developer Policy and Microsoft’s API Terms to ensure that only necessary data is accessed for the functionality you request, and that any data processed is secured and used solely to provide or improve VenEx AI features.
- Task & Project Management Data (Jira): Task completion rates, issue tracking, workflow metrics, and related metadata to help analyze and improve productivity trends.
We never:
- Read or store personal emails without explicit user consent.
- Use your data for advertising purposes.
- Sell or share your data with third parties outside of necessary service providers (and only as needed to provide VenEx AI’s core functionality).
C. Automatically Collected Data
- Usage Data: Log files, device information, browser type, and IP address for security and service improvement.
- Cookies & Tracking Technologies: We use cookies to enhance user experience and for analytics. You can manage these via browser settings.
2. How We Use Your Information
We use collected data to:
- Provide and Improve Services: Generate performance insights, track productivity trends, and optimize AI models.
- Enhance User Experience: Personalize insights, track engagement, and improve recommendations.
- Ensure Security: Detect fraud, prevent misuse, and enforce our Terms of Service.
- Compliance & Legal Obligations: Respond to lawful requests and meet regulatory requirements.
- Google Workspace API Data Use: VenEx AI uses Google Workspace APIs, including Gmail API, strictly for providing work performance insights and productivity analysis. We do not use, retain, or process any Google Workspace user data to train, improve, or develop AI or machine learning models. All data access is solely used to deliver the intended functionality of VenEx AI and is never shared or repurposed for AI/ML training.
We may use your anonymized analytical metrics, along with aggregated data from users in similar roles, to generate benchmarking insights. This helps individuals understand performance trends and ranges relevant to their role. No personally identifiable information (PII) is disclosed through these benchmarking features.
3. Data Security & Protection
We take industry-standard security measures to protect your information:
- Encryption: We use strong encryption (TLS/SSL) for data in transit and, where applicable, encryption at rest.
- OAuth Authentication: Access to Gmail, Outlook, Slack, and other integrations is handled via secure OAuth 2.0 protocols; we do not store user passwords.
- Limited Access & Role-Based Controls: Our systems enforce strict permissions to ensure that only authorized personnel can access necessary data.
- Data Minimization: We strive to process data in real-time whenever possible, storing only the minimum data required to deliver VenEx AI’s functionalities.
- Security Monitoring: We monitor our systems for potential vulnerabilities and attacks.
- Incident Response: In the event of a security breach, we will promptly notify affected users and/or relevant authorities as required by applicable laws and regulations.

4. Your Data Rights & Choices
You maintain full control over how your data is used and can manage your preferences or revoke access at any time. Specifically:
- Review & Edit Data: You can view and update your account information under Settings on VenEx AI.
- Revoke Access: You may revoke VenEx AI’s access to any integrated platform (Gmail, Microsoft Outlook, Slack) at any time in your account or via the respective platform’s authentication toggles under Configurations on VenEx AI .
- Request Data Deletion: You have the right to request complete deletion of your account and all associated data.
- Opt-Out of Analytics: You can disable non-essential tracking and analytics at any time.

5. Data Sharing & Third-Party Services
We do not sell user data. We only share data in these limited circumstances:
- Service Providers: We work with trusted service providers (cloud hosting, analytics, payment processors, etc.) who require access to certain data to perform services on our behalf. They are bound by confidentiality and security obligations to protect your information.
- Legal Compliance: If required by law, court order, or other government or law enforcement authority.
- Business Transfers: In connection with any merger, acquisition, or asset sale, your information may be transferred. If such a transfer occurs, we will notify you of any new privacy policy governing your personal information.
6. Data Storage & Retention
- Real-Time Processing: All user performance insights are generated in real time without persistent storage of raw data.
- Minimal Retention: Where data retention is necessary (for account management, customer support, compliance, etc.), we keep such data only for as long as it is needed to fulfill those purposes.
- User-Controlled Deletion: You may request immediate deletion of your stored data at any time by contacting us at privacy@getvenex.com.
7. International Data Transfers
VenEx AI is hosted on secure, globally distributed cloud servers. Depending on your location and the location of our servers or service providers, your data may be transferred across international borders. We ensure adequate safeguards for these international transfers in compliance with applicable data protection laws (GDPR, CCPA, etc.).
8. Compliance with Third-Party Policies
- Google
- We comply with Google API Services User Data Policy and the Limited Use requirements, ensuring that any data obtained from Google APIs (Gmail, Google Calendar, etc.) is used only to provide or improve your experience with VenEx AI.
- We do not use data from Google APIs for advertising or share it with third parties unrelated to delivering core VenEx AI functionality.
- Microsoft
- We comply with Microsoft’s API Terms and developer guidelines, accessing only the minimum data required to deliver the requested service.
- We never use Microsoft data (Outlook, Teams, etc.) for unauthorized purposes or share it outside necessary sub-processors.
- Slack
- We abide by the Slack Developer Terms of Service and any relevant user data policies.
- Slack workspace data is used exclusively for analytics and productivity insights as authorized by the workspace or user admin. We do not process private or encrypted conversations without explicit permission.
9. Changes to This Privacy Policy
We may update this policy to reflect changes in our services or legal and regulatory requirements. When we do, we will notify you of any significant updates via email. Your continued use of VenEx AI after such updates will constitute acceptance of the revised policy.
